Assistant to Office of the President

Position Summary:

Provide administrative assistance and project management to the Office of the President.

Responsibilities:

  • Provide volunteer management for Board of Directors, Executive Committee, Nominating and Governance Committee, Community Service Award Selection Committee, Finance Committee, Investment Committee, Information Technology Committee, Benefits and Compensation Committee, Regional Advisory Boards and other committees as formed to include but not limited to:
    • Maintain accurate and up-to-date list of board of directors including terms
    • Maintain accurate and up-to-date list of committee members
    • Distribute communications (electronically and via mail) to committee members.
    • Upload electronic board documents to Board Corner on organization’s website.
    • Send out meeting notices; keep track of attendance; schedule meeting space; arrange for refreshments
    • Record minutes and prepare draft of meeting minutes as required.
  • Provide project management for special administrative initiatives.
  • For President, Senior Vice President, Vice President of Relationship Management, and Vice President of Finance and Administration:
    • Draft letters as required, prepare mailing envelopes
    • Provide telephone coverage as necessary
    • Assist with maintenance of calendar activities and scheduling meetings.
    • Implement surveys
    • Assist in preparing reports
    • Maintain files
  • Reconcile corporate credit card statements
  • Submit and track United Way Worldwide Flex Credits for staff attending approved conferences, summits, and training session.
  • Register staff members for conferences, summits, and professional development training.
  • Travel arrangements (includes researching cost-effective travel options) for entire organization.
  • Maintain yearly Sponsorship log.
  • Maintain accurate mailing lists for assigned mailing categories.
  • Sort, distribute and oversee distribution of mail and printed materials to staff as necessary, including log in of checks received through the mail to Office of the President.
  • Provide administrative support (10% of time) to Communications Department.
  • Provide front desk coverage.
  • Assist other departments with special projects as needed (i.e. Campaign Cabinet meetings).

Requirements:

Must have minimum high school diploma or equivalency and a proven track record of managing administrative responsibilities. Individual needs to be well-organized, possess good written and oral communication skills, and be proficient in Word including ability to do mail merge. Knowledge of Powerpoint a plus. Must have potential for career advancement.
