Notetaker Position Description

Position Summary

We are seeking an experienced Notetaker to attend Common Sense Fund (“CSF”) Board meetings and draft notes that will serve as the formal minutes of the organization’s business and grantmaking discussions.  The Notetaker will work alongside the Secretary of the foundation to edit the notes in preparation for Board ratification. This supportive role requires the ability to listen and record Board business with a high level of accuracy, professionalism, and confidentiality.

Primary Responsibilities

  • Attend virtually three meetings annually of the CSF Board of Directors.  The meetings are as follows:
    • Annual Meeting up to five hours one day in January
    • Grantmaking Meeting up to five hours per day for up to three days in June
    • Grantmaking Meeting up to five hours per day for up to three days in November
  • Draft comprehensive and accurate notes of the meetings of the CSF Board of Directors* (Grantmaking Meeting minutes are typically 7-8 pages with approximately 5 pages of attachments, Annual Meeting minutes are approximately 3-4 pages and 2-3 pages of attachments)
  • Transcribe notes into formal minutes according to the foundation’s standard template
  • Digitally attach meeting documents to the minutes and work with the Secretary to edit and finalize the minutes in preparation for Board ratification
  • Present the final draft minutes to the grants manager to be posted online

*This position does NOT require significant meeting preparation, e.g., board notifications, conference venue arrangements, and development of agenda or board materials. The Notetaker will receive a meeting agenda in advance of the meeting. Attachments to the meeting minutes will be provided to the Notetaker by the Advisor and Grants Manager.

Qualifications/Experience

  • Minimum of an Associate Degree
  • Excellent listening, writing and verbal communications skills
  • Proficiency with Microsoft Word or other mainstream word processing program
  • Exercises discretion with confidential and highly sensitive information
  • Dependable and punctual

Position Details

Schedule: Up to 35 hours of meeting time, plus time (approximately 15 hours total) to prepare, transcribe and edit notes as formal minutes. 

Starting Salary: Industry standard, an additional hourly rate will be applied for travel and expenses
